Terms and Conditions

Please read these terms and conditions carefully before using Our Service.

 

1. How do we work together?
 

After a first contact (see Contact Us), The Office Elf will provide you with a free consultation to understand your needs, requirements and projects. Depending on the tasks you need support for, The Office Elf will provide you with an hourly based quote or a project based quote.

 

All the following aspects of our collaboration should be discussed and agreed before we start:

  • Projects/tasks

  • Timeline

  • Pricing 

  • Communication

 

Once agreed, The Office Elf will start its work while you dedicate your time developing your business, freeing up your time and headspace knowing that all the background tasks will be taken care of.

 

2. How is The Office Elf working?

After the initial consultation, duties will be performed remotely.

Depending on the tasks and projects, The Office Elf might have to come onsite

Please note that travel charges will occur - See #4 How much does it cost?

The Office Elf working hours are Monday to Friday 9am to 5pm.

 

3. How do we keep in touch?

Throughout our collaboration The Office Elf will be available via email for any questions.

If you feel that an email is not enough - we like to follow the rule of 3 “If you can't complete an email conversation within three emails, then it should shift to another medium”- we can talk through phone calls, video calls or in person.

We are committed to reply to any communication sent during office hours within 24 hours.

 

4. How much does it cost?

As mentioned in “How do we work together?”, the pricing structure will depend on the tasks/projects The Office Elf will perform.

Most of the administration and accounting tasks will be priced on an hourly rate (starting rate £30.00 per hour), whilst some other tasks and The Extra Mile services are more likely to be on a fixed rate.

Remember that unlike an employee, you don’t have to pay any Income Tax, National Insurance or Pension when working with The Office Elf.

Travel expenses: if The Office Elf has to travel on site, charges will occur (mileage based on current HMRC rate, tickets and accommodation at face value).

 

Invoices will be issued on a monthly basis and payable within 14 days. 

Any late payment will incur a late payment fee:  monthly fee (3% of the invoice amount plus the Bank of England’s base rate - current rate 0.1%) + one-off fixed compensation fee (£40 for a debt less than £1000; £70 for a debt between £1000 and £10,000; and £100 for a debt of £10,000 or more).

5. How does my company stay safe and protected whilst using The Office Elf?

Confidentiality is really important to us. Rest assured than when working with The Office Elf your data will be safe and not shared with any third party without your consent.

6. How do I complain?

 

The Office Elf aims to provide high quality services which meet your needs. We believe we achieve this most of the time: if we are not getting it right please let us know. In order to ensure our services remain at a high and improving standard, we have a procedure through which you can let us know if for any reason you are not satisfied with your dealings with the organisation.

Often we will be able to give you a response straight away. When the matter is more complicated we will give you at least an initial response within five working days.

 

7. Changes to These Terms and Conditions

The Office Elf reserves the right, at Our sole discretion, to modify or replace these Terms at any time. If a revision is material The Office Elf will make reasonable efforts to provide at least 30 days' notice prior to any new terms taking effect. What constitutes a material change will be determined at Our sole discretion.
